Module S4.1

Kick-off Workstreams

Prior to workstream implementation and delivery a work package is developed. These work packages identify how the workstream opportunities will be delivered.

Activities

  • Consider change management aspects of the value improvement opportunities
  • Draft work packages for prioritised opportunities:
  • > 4.2 Sourcing
  • > 4.3 Supplier & Contract management
  • > 4.4 Business & Operational Change
  • Recruit implementation team members
  • Agree implementation plan and work package with agreed governance structure
  • Agree reporting & benefits measurement processes
  • Hold workstream kick off meeting with cross functional team

Key Meetings

The category lead will meet with each workstream lead to hand over the workstream package. This will be the point at which responsibility for delivery of the workstream changes.

Module S4.2

Sourcing

Planning for sourcing workstreams involves agreeing what form of supplier selection process should be undertaken and creating the necessary documents such as statement of requirements, contracts terms and SLAs.

Activities

  • Develop supplier selection process
  • Confirm forecast requirements
  • Finalise statement of requirements
  • Develop RFP document or dynamic bid event
  • Issue RFP document or dynamic bidding event
  • Prepare initial bid evaluation report
  • Plan & conduct negotiations
  • Prepare final evaluation report & gain approval
  • Obtain contract award approval
  • Finalise contract
  • Award contract, inform unsuccessful bidders

The project team should meet to plan the sourcing workstreams and ensure that the detailed activities are shared out amongst the team members.

Module S4.4

Opportunities & Business Change

Activities

  • Undertake required business impact assessment(s) e.g. Privacy, Data
  • Undertake business analysis to map as is position
  • Employ strategic analysis tools e.g. LEAN, VSM to identify improvement opportunities
  • Analyse, prioritise and agree opportunities to be taken forward to implementation
  • Develop change management plan
  • Develop new and/or revise policies, procedures and process documentation
  • Create communications and training materials and deliver training to impacted staff
  • Create transition approach (considering phasing, pilots) and ready to fly checklist
  • Implement and transition to new state, providing required transition support
  • Assess implementation success, address any required follow-on actions
  • Undertake Lessons Learned to support continuous improvement

Module S4.5

Track Workstream Progress

Tracking workstream progress is often the part that of the category management process that is given little attention. It is important to ensure that the transition to workstream delivery is smooth.

Activities

  • Prepare and issue periodic progress reports
  • Hold progress review & governance meetings and outcomes are documented and actioned
  • Update workstream documentation including benefits forecast, risk log, plan on a page
  • Manage any required change control
  • Hold workstream review & closure meeting including lessons learned
  • Hold post implementation review (3 months post closure)

Key Meetings

Category Lead meets with and agrees reporting from workstream leads, including agreeing timing of review sessions with them to feed into regular updates with category sponsor and steering group.
